OnSite Spouting: Software Built Around the Business

Spacing Dash

Off-the-shelf SaaS systems did not fit the way OnSite Spouting works. Philo built a custom operations platform that connects roof measurements, materials, supplier pricing and customer quotes around the business’s own requirements.

The Challenge

OnSite Spouting needed software that understood the practical details of its work. The SaaS systems it had tried did not handle the business correctly. Managing a spouting and fascia job involves more than moving a task through a generic pipeline: measurements, material profiles, stock lengths, supplier pricing and customer quotes all need to agree.

The business needed a fully custom solution that matched its processes, from the first enquiry through to planning, quoting and installation. The brief was to build around how OnSite Spouting works and make those requirements part of the software itself.

Our Solution

Philo built a custom operations platform that brings the job workflow into one application. It connects customer enquiries, roof plans, material orders, supplier pricing, quotes and job costs, with access tailored to office staff, installers and external suppliers.

A roof plan that connects to the work

The interactive roof-planning workspace lets staff draw fascia, gutter, barge flashing and Z-flashing runs over satellite imagery, place downpipes and record site measurements. Each run carries the information needed for the job, with photos and additional work kept alongside the relevant section.

The material rules reflect OnSite Spouting’s installation methods. Fascia uses explicitly selected stock lengths and quantities; continuous spouting and flashings use measured lengths. The order tally updates from those choices, while the separate Materials workspace brings together product selection, colours, quantities and flashing drawings.

Quoting with the right information behind it

Material quantities feed into quote preparation alongside labour, additional work and external supplier costs. Supplier pricing can be requested and selected before the customer quote is issued, while awarding and scheduling the work remain separate steps.

Quotes are versioned so that an issued price stays tied to the products, quantities and colour options offered at that time. Customers receive a PDF or secure link to review the quote and accept it, decline it or request changes.

Connected work in the office and on site

The application adapts to desktops, tablets and phones, giving staff access to the same job information in the office and in the field. Installers can review the saved set-out and materials and record their time. Suppliers receive a focused view of the work shared with them.

Stock reservations, fabrication orders, receipts and issues connect supply to accepted work. Purchase review and job-cost reporting bring accepted quote revenue and recorded actual costs together, helping the team see where a job needs attention.

The Outcome

The result is a system designed around OnSite Spouting’s business requirements. Its material rules, quoting stages and supplier handovers are built into the workflow, giving the business software that fits the job it needs to do.

The custom platform also provides a foundation for ongoing improvements. As OnSite Spouting’s requirements develop, the software can evolve with them, with changes made to its own processes, permissions and tools.

Technology

The platform uses Vue 3 and Vuetify for the responsive interface, a .NET API and PostgreSQL for the application and data, and Google Maps for address lookup and roof-plan imagery.
