Challenge

The New Zealand Oral Health Association (NZOHA) faced a critical challenge with its existing systems. Relying on an ageing platform, creating significant administrative overhead for their executive team. More importantly, no readily available system could meet the dual needs of a highly customised membership portal and the specific, workflow-driven requirements for member recertification mandated by the New Zealand Dental Council. The process was manual, labour-intensive for both the organisation and its members, and lacked the efficiency and integration required for modern professional bodies.


Our Solution

Philo worked closely with the NZOHA to develop a custom-built, ground-up platform that serves as a single source of truth for all member and professional development activities. We designed and implemented a fully integrated system that manages members, their memberships, and renewal processes. The platform includes seamless payment integration with Stripe and accounting automation with Xero, which has drastically reduced manual workload.

The cornerstone of the solution is a custom-designed workflow specifically for professional recertification. This bespoke system allows members to easily track activities and submit reflections, which are then aggregated into a comprehensive end-of-year report. Additionally, the platform allows the executive team to create and manage courses with ease, including setting close-off dates, handling registrations, and exporting lists for accurate event planning.


The Outcome

The implementation of the new platform has delivered significant, tangible benefits for the New Zealand Oral Health Association and its members. The executive team has seen a dramatic improvement in efficiency, as the system now handles member renewals and automated reminders, freeing up valuable time previously spent on manual administration.


For members, the platform has become a huge incentive to join and remain part of the association. The automated and guided recertification process is a major benefit, transforming a previously labour-intensive task into a streamlined, user-friendly experience.
